📊 Reports for Every Plan, and Five New Ones
Five new reports, aimed at the questions that are awkward to answer from a list of transactions — what to buy, what to clear, and how your week is filling up.
What's New:
- Stock Aging & Markdown: Every gown grouped by how long it's been on your floor, with what it's worth and what it cost. Click a band for the full list and a slider that shows what those gowns would list at once discounted — it never raises a price you've already marked down.
- Buying Budget: What you can commit at market, from your own sales pace, the stock already on your floor, and what's genuinely on order.
- Capacity & Utilization: How much of your appointment capacity you actually book, by day, room and hour.
- No-Show & Deposit Economics: How often appointments don't happen and what that costs at your own close rate and average sale, comparing types that charge a fee against those that don't.
- Activity Log: Every recorded change and customer note in a period — what changed, who changed it, and when.
Appointment Conversion Tracking Now Counts Customers:
- The headline conversion rate is now the share of customers who bought, so a bride who visits three times before saying yes counts once rather than dragging the rate down twice.
- The old per-appointment figure is still there as close rate, shown alongside it — that's the one to use for capacity questions.
- Added a breakdown and filter by customer type, and rates now measure through yesterday instead of sagging until midnight.
Reports Are Now on Every Plan:
- Payments, Refunds, Sales Tax Summary, Financial Summary and Outstanding Balances can be run on any plan, with the rest unlocking as you move up.
- Financial Summary and Outstanding Balances are now full reports rather than dashboard tabs, so you can filter and arrange them like any other. Their old tabs stay this release with a link across, then go away.
- Arranging a report is free on every plan. Choose your columns, sort and group them while you're reading. Saving that arrangement to reuse next month still requires Ultimate.
Easier to Find What You Need:
- Reports are grouped into Money, Merchandise and People, with a "What are you here to do?" filter for when you know the job but not the report's name — buying at market, clearing old stock, closing the month.
- Search understands the words you'd actually use, so "dead stock" and "stocktake" find the right report.
- Your inventory tools — Slow Movers, Physical Count, Disposal Candidates — now sit alongside the reports instead of somewhere else.
- You can limit a role to specific reports in your role settings — how you give a bookkeeper the two financial reports they need and nothing more.
Key Benefits:
- Walk into market with a number instead of a hunch
- Know which gowns are quietly tying up your cash, and what to do about them
- Clicking a report you can't run tells you exactly which plan it needs
Eight Older Reports Have Been Retired
Each one overlapped with a report or tool that does the job on its own, so there's one place to look instead of two. If you had one saved as a custom report, it will no longer appear in your catalog.
| Retired report | Use instead |
|---|---|
| Inventory Added | Inventory On Hand, which now takes an optional Date Added range |
| Appointment Room Usage | Appointments, grouped by room |
| Appointment Type Usage | Appointments, grouped by appointment type |
| Staff Member Appointments | Appointments grouped by staff member for counts, or Appointment Conversion Tracking for rates |
| Customer Notes | Activity Log, where notes sit alongside the changes around them |
| Slow Moving Inventory | Stock Aging & Markdown, or the free Slow Movers tool |
| Inventory True-Up | The Physical Count tool, which now exports to Excel |
| Prom Registry (the report) | The Prom Registry screen, which now shows a sale total per entry and exports to Excel |
🛍️ A Showcase That's Easier to Browse and Share
However you share your showcase — a link in the appointment confirmation email, a post, or your own website — this release makes the browse itself better.
A Better Look at the Dress:
- Item pages now show a thumbnail strip, and clicking a photo opens it full-screen, already magnified where you clicked, so she can see the beading.
- Brides can filter by fabric, neckline and embellishment alongside silhouette, on the Filters & Visibility tab. You choose which values ever appear — hide a designer you can't advertise online or a fabric you've discontinued, and the gowns that only match it drop out of view.
- Where you show prices, shoppers can now sort by them.
Easier to Point Her At:
- Every gown has its own short link you can text or email. She lands straight on that dress instead of a catalog she has to search — ideal for the follow-up after an appointment.
- She can act from the gown page, with a Book an Appointment button and an optional Email Us About This Item button you can switch on in your showcase settings.
Or Put It on Your Own Website:
- Your showcase can be embedded directly into your own pages — one block you paste once, from the same showcase settings, with a step-by-step guide. With collections, a single one can go on its own page, so a sample-sale page shows only sample-sale gowns.
- This is an option, not an upgrade. Sharing the link in your confirmation emails works exactly as it did, and remains the simplest way to get a bride browsing before her appointment.
Key Benefits:
- She arrives with favorites already picked, so the appointment starts further along
- Your shop window changes when your stock does, with nothing to maintain
Note: The Inventory Showcase is part of the Ultimate plan.
💍 One Customer, More Than One Event
A customer's Group tab is now an Events tab, and she can have more than one — a wedding this year and a gala next spring, each with its own date, venue and party.
What's New:
- Each event keeps its own date, venue and members, with their own roles. Everything the Group tab did carries over.
- Two customers can share one event, so a mother and daughter shopping for the same wedding sit on one rather than two.
- Orders know which event they're for. With one event, orders link to it automatically and nothing changes for you. With two or more, the order form asks, and the customer's page flags anything still unassigned.
- Reminders follow the right event. Someone in two events gets one per event, timed off that event's own date — and she's treated as a bridesmaid for the wedding where she is one, even if she's a bride in yours.
- Venue is a real field now, collectable on your booking form and on prom registrations.
Key Benefits:
- Stop overwriting one bride's wedding date because she's also in someone else's party
- Every order, task and reminder lands on the right date without you tracking it
🤝 When Two Consultants Share a Sale
When two people work the same bride, the order can now credit both.
What's New:
- Split it by percentage on the order's Associated Staff card. Add a second consultant and it splits evenly; adjust from there and the primary keeps the remainder.
- Both consultants are credited. Staff Member Sales, Appointment Conversion Tracking, Financial Summary, Tips and Cash Flow Summary credit the money and the sale by the same split — a 50/50 sale gives each half the value and 0.5 sales, under a Credited Sales heading. The fractions are deliberate: a whole sale against half the value would drag down a co-seller's average. Totals stay whole numbers.
- The split follows the sale through refunds, adjustments and alterations, and survives a quote becoming an order.
- Filtering by a consultant now finds sales they worked on, not just ones they led.
How to Access:
- The option appears on the Associated Staff card once you have two or more active sales associates.
🎨 Make CloudBridal Look Like Your Shop
What's New:
- Seven themes — Default, Blush, Sand, Mocha, Sage, Dusk and Plum — set for your whole shop under App Appearance in your branding settings.
- Or just for you. Any staff member can pick their own from their Profile, so one consultant can work in Sage while the shop runs on Blush.
- A typeface to match, set the same two ways. It changes the screen only — printed documents, PDFs and anything a customer receives keep their own typography.
- Your branding still wins where it counts. Themes apply to the staff app only; your booking page, client portal and showcase keep your own colours.
Key Benefits:
- Nothing changes until you choose a theme — your existing look is the default
🛑 A Proper Way to Cancel an Order
Cancelling used to be just a status you picked. Now it's a guided action that walks through everything that should follow.
What's New:
- Cancel the whole order or just some items.
- Decide what happens to the money. Cancelling a whole order asks whether the money already collected comes back to her or stays put. Nothing is assumed on your behalf. If you're returning it, the refund screen is where you choose between money back and store credit.
- Put the stock back properly. Return to Stock returns the gown to your floor at the cost it left with — no more manual stock adjustments after a return, and clicking twice can't double your inventory.
- Record why. A list of cancellation reasons you maintain in your order settings, so you can see the pattern later.
- It reads as a return when it is one. If she's already collected the gown, the whole action becomes Record Return.
- Refunds land on the right item. When you refund a payment, CloudBridal asks what it's for, and on a multi-item order you can split it across items.
- It tidies up after itself. Cancelling a whole order clears pending scheduled payments, so she stops being chased for money she no longer owes.
- Every payment in one pass. If she paid across several cards, the refund screen now handles them together rather than one at a time. If a card refund fails, it stops there and only retries what hasn't gone through.
Permissions:
- Cancelling needs a new Orders → Cancel permission, granted automatically to any role that already had Orders → Manage. Anyone signed in during the update will need to sign in again to see it.
Note: Because cancellations are now recorded properly, reports that previously counted a cancelled order as a sale show corrected figures — including for cancellations from before this release. On the Sales Tax report's order-based options, a cancelled sale stays in the month it was made with an offsetting reversal in the month it was cancelled; all-time totals are unchanged. Staff sales, conversion and margin figures for past periods may shift for the same reason.
🔒 An Inactivity Lock for Shared Devices
The tablet at the front desk stays signed in as whoever used it last, and the next person's work quietly lands under that name. The inactivity lock makes that much less likely.
What's New:
- A pin code to get back in. After the delay you choose, the screen locks and the signed-in staff member enters their pin code — the same one they already use for the time tracker.
- Or hand the device over. The lock screen has a Switch user option: pick your name from the list and sign in with your own password or Google account. No hunting for the sign-out button first.
- Exempt anyone who doesn't need it. Tick Exempt from the inactivity lock on a staff member's record — the owner on a laptop at home doesn't need the front desk's rules.
- A summary while you set it up, showing how many staff the lock covers, how many are exempt, and anyone without a pin code. The lock skips those staff members, since a pin is how they'd get back in.
- It locks rather than signs out. A half-finished order is still there afterwards, and every tab you have open locks and unlocks together.
Key Benefits:
- Nothing changes until you turn it on — it stays off for shops that don't want it
- Fewer sales, notes and appointments recorded against whoever happened to use the device last
How to Access:
- Inactivity Lock in your staff settings. Each staff member needs a pin code on their record for the lock to reach them.
Note: This reduces honest mistakes rather than preventing deliberate access. It won't stop someone using a colleague's screen inside the time you've set, and on a device the public can reach it's no substitute for signing out.
🗓️ Additional Improvements
Sales Tax on Appointment Fees:
- Appointment fees charged against a linked item can now include sales tax, in your appointment type settings. The customer pays exactly the fee you set; CloudBridal records the tax behind it.
Follow Up on Abandoned Online Bookings:
- A customer who starts booking a paid appointment but never finishes the card step now appears under Abandoned Online Bookings on your appointments screen for 14 days, with her contact details. She was never charged and no slot is held.
A Separate Email Address for Purchasing:
- Set a Purchasing Email Address in your purchase order settings and it appears on purchase orders and as the reply-to on vendor emails. Leave it blank to keep using your business email.
Customer Measurements per Purchase Order:
- The purchase order print view now has a Display Options bar to include or omit customer measurements and the cost summary for one purchase order, without changing your default.
"No Phone" on a Customer Record:
- A phone number is now required when adding or editing a customer, unless you tick No Phone — the same escape hatch email already had. It clears itself as soon as a real number arrives.
Type Dates Instead of Clicking Them:
- Every date field now accepts a typed date in your shop's format —
6/15/24,15.6.2024— with or without leading zeros. The calendar waits for ↓ rather than opening the moment you click in.
Event Dates on Outstanding Balances:
- Outstanding Balances now shows the event date next to the order date, in the table and the CSV export — next month's balance is a different problem from next year's.
Tips on Cash and Check Payments:
- If your shop takes cards, the tip field was hidden on every new payment, which made Tip Tracking look like it did nothing. Choosing a payment method now brings it back.
QuickBooks:
- Syncing leaves your bookkeeper's edits alone — date, payment method, memo and deposit account stay as set in QuickBooks. Sync errors now explain what to do about them, and synced records link straight to QuickBooks.
You Can't Lock Yourself Out of Your Own Account:
- On your own staff member record, the access type, role and Inactive and Login Suspended checkbox are now read-only — another admin makes those changes for you. Assigning yourself a new role to see what it looked like was enough to lose admin access to your own shop.
Clearer Error on a Duplicate Username:
- Creating a local account with a username that's already taken now says so, instead of failing with "Unknown error".
Prom Registry Totals and Export:
- The Prom Registry screen now shows a sale total per entry, adds a venue filter, links to each customer, and exports to Excel.
