Appointments

The Appointments page displays your appointment calendar as well as your pending appointments that require your action. To learn about how to configure your appointment settings, please visit the Appointment Settings documentation.

Your Pending Appointments

Generally, your appointments will begin in the Pending state. This means that a customer has requested an appointment that you have not yet marked as Confirmed. These appointments will display in a table at the top of the page:

The green pencil icon allows you to view the appointment details and the blue arrow icon will jump to the appointment in the calendar view so that you can get an idea of your other appointments for that day. Viewing an appointment opens up a dialog box that looks something like this:

This is what a typical pending appointment looks like, and you have the ability to Confirm or Decline the appointment at the bottom. You can also Save the appointment without changing the status, which is useful in situations like updating the internal notes or changing the time. You also have 2 actions at the top:

  • Create Prospect: If you don't want the customer to self-register, you can click this button to create a prospect record directly from the appointment. If you have customer self-registration enabled, we don't recommend doing this before the customer's appointment, because they may attempt to self-register and find that they cannot since they are already registered.
  • Resend Appointment Email: If a customer communicates with you that they never received the appointment confirmation email, you can click this button to resend it.
  • Send Registration Invitation: If a customer's appointment has been confirmed and they have not yet self-registered into CloudBridal, you can use this action to send out an invitation email directly.

The Appointment Calendar

The appointment calendar displays your appointments for either a month, week, or day at a time. The time span can be controlled through the buttons on the top right:

The calendar displays your store open days and hours based on your configuration in the appointment settings. In the Week and Day views, you can click the indigo region at the top of a day to either set notes for that day or mark the store as closed for the day. Marking the store as closed will prevent customers from being able to book appointments for that day. image-17

Marking the store as closed displays in orange. Notes display in indigo, and can even have formatting applied to them.

In the Day view, your appointment calendar is broken down by resource. This is especially useful if you have a packed day with multiple simultaneous appointments, as other views of the calendar may appear confusing.

The Week view is a good way to get a quick overview of your past, present, and future appointments. Unlike the Day view, your appointments are not broken down per resource, so you will see your simultaneous appointments right alongside one another.

Finally, the Month view is an option you can use to move through the calendar quickly and get a very quick view of your appointments without too much detail into any individual appointment. Appointments are not displayed alongside one another, but rather on top of each other.

You may also have noticed that in the previous images, customers either have a green checkmark or red exclamation mark near their name. This is a quick way to see if a customer has self-registered for their appointment. If you turn off self-registration, you will not see these marks at all.

Clicking on any individual appointment opens up the details for that appointment, where you can manage any details of the appointment as you see fit.

Finally, at the top of the appointments page, you will see various filter and search options. You can use these options to filter the calendar however you wish. This can be very useful if you want to find a specific appointment.
