CloudBridal's purchase order system helps you streamline communication with vendors and track ordered items. The Purchase Order Settings page allows you to configure how purchase orders work in your shop.

Core Purchase Order Settings

Enable/Disable Feature

  • Purchase Orders Enabled: Toggle this setting to show or hide the Purchase Orders tab in the CloudBridal sidebar. When disabled, the purchase order functionality is completely hidden.

Custom Fields

  • Use Custom Fields for Customer Purchase Order: Enable this to create custom fields specifically for purchase orders.
  • Add, edit, and arrange custom fields to track additional information with each vendor order.

Send to Vendor Settings

CloudBridal makes it easy to share purchase orders with your vendors through email or PDF. Configure what information appears when sending purchase orders:

Visible Fields

By default, certain fields are hidden in the vendor-facing view. You can choose to display any of the following:

  • Customer Name: Toggle whether to display the end customer's name
  • Event Date: Include the customer's event date (uses your configured event date name)
  • Customer Measurements: Include detailed customer measurements
  • Order Custom Fields: Display selected order custom fields
  • Purchase Order Custom Fields: Display selected purchase order custom fields

Email Template

  • Email Body: Configure a default email message that appears when sending purchase orders to vendors
  • Supports rich text formatting and variable placeholders
  • Includes AI assistance for generating professional email templates

Using Purchase Orders

Once configured, you can create purchase orders from:

  1. Customer Order Screen: When creating a new order, click "Create Purchase Order"
  2. Purchase Orders Tab: Create standalone purchase orders not tied to specific customer orders
  3. Vendor Screen: View all purchase orders for a specific vendor

When sending to vendors, CloudBridal generates a professional PDF and email that only includes the fields you've selected in settings.

Best Practices

  • Custom Fields: Create custom fields for tracking vendor-specific data like reference numbers or special instructions
  • Visibility Settings: Consider your vendor relationships when deciding what customer information to share
  • Standardize Email Template: Develop a concise, professional template that includes your account number and contact information
  • Review Settings Regularly: Update your settings as vendor requirements change
