Inventory Item Settings

The Inventory Item Settings page allows you to fully customize how your inventory is organized, displayed, and managed in CloudBridal.

General Inventory Settings

  • Prices Include Tax: When enabled, prices you set for inventory items are tax-inclusive. The system calculates taxes accordingly to maintain the displayed price. This is appropriate for regions like the UK where advertised prices include tax.

  • Sales Associate Tracking: For each inventory item type, you can enable the Sales Associate field to track which staff member made the sale. This helps with commission calculations and sales performance tracking.

  • Order Price Can Be Changed Any Time: When enabled for an item type, this allows you to modify the price of an order regardless of its status. Useful for item types where pricing flexibility is needed.

Customizable Inventory Item Types

CloudBridal now offers fully customizable inventory item types, moving beyond the traditional "Dress" and "Non-Dress" categories:

  1. View Existing Types: See all your current inventory item types
  2. Create New Types: Add custom item types specific to your business
  3. Modify Existing Types: Rename types or adjust their settings
  4. Deactivate Types: Hide types you don't use without losing historical data
  5. Reorder Types: Drag and drop to arrange the display order of types

Each inventory item type can have its own unique configuration of fields, providing greater flexibility for different product categories.

Field Visibility and Requirements

For each inventory item type, you can configure:

  • Visible Fields: Control which fields appear for each item type
  • Required Fields: Mark critical fields as mandatory before saving
  • Field Order: Arrange fields in a logical sequence for data entry

This granular control allows you to create streamlined forms specific to each type of product you sell.

Item Name Fields

CloudBridal has updated item naming conventions:

  • Internal Item Name: The name you use internally (formerly "Item Name")
  • Display Name: The customer-facing name that appears on receipts, the inventory showcase, etc. (formerly "Customer-Facing Item Name")

Both fields can be configured as visible and/or required for different item types.

Vendor Color Configuration

For easier management of vendor colors:

  • Define vendor color groups in the Vendors page
  • Apply entire color groups to inventory items
  • Select individual vendor colors
  • Enter custom colors for unique items

Selectable Options

Customize the dropdown options available for inventory items:

  • Silhouettes: A-Line, Ball Gown, Fit & Flare, etc.
  • Fabrics: Chiffon, Lace, Satin, etc.
  • Necklines: Sweetheart, V-Neck, Halter, etc.
  • Embellishments: Beading, Sequins, Appliqués, etc.

You can add, edit, or remove options to match your inventory needs.

Support for Item Varieties

CloudBridal supports two types of item variations:

Stocked Item Varieties

Physical items you have in your store:

  • Track size, color, quantity, and price for each variant
  • Automatically reduce quantity when items are sold
  • Add multiple sizes quickly with the "Add Multiple Sizes" feature

Orderable Varieties Ultimate Plan

Options that can be special ordered:

  • Define orderable variations like "lined vs. unlined" or "petite vs. regular"
  • Set different price points for each variation
  • Select specific varieties when creating special orders

Item Quantities and Tracking

Configure how quantities are handled:

  • Enable Quantity Tracking: Toggle tracking on or off per item type
  • Allow Fractional Quantities: Enable decimal quantities for items sold by weight or length
  • Quantity Tracking Visibility: Control whether quantity appears in the inventory list

Discontinued Item Handling

The system now intelligently manages discontinued items:

  • Discontinued items with quantity > 0 remain visible
  • When quantity reaches 0, the item is automatically hidden
  • The system warns about hidden discontinued items when searching

Label Printing Settings

Configure default label printing options:

  • Default Label Size: Set preferred DYMO label type
  • Default Content: Choose which fields appear on labels
  • QR Code Settings: Enable/disable QR codes (Ultimate plans only)
  • Include Silhouette: Show item silhouette on labels

Custom Fields

In addition to default fields, you can create custom fields for inventory items:

  1. Navigate to the Custom Fields section
  2. Click Add Field to create a new field
  3. Configure field properties (name, type, default value, etc.)
  4. Assign the field to specific inventory item types

Legacy Settings

The Inventory Item Additional Options section is a legacy feature that allows custom checkboxes on inventory items. We recommend using the more robust Custom Fields feature instead.
